Who we are
This policy is issued by Venom Racing, an RMI Accredited performance tuning, fabrication and mechanical workshop at 58 Industrial Crescent, eMalahleni, 1034, Mpumalanga, South Africa ("Venom Racing", "we", "us").
For the purposes of the Protection of Personal Information Act 4 of 2013 ("POPIA") we are the responsible party for personal information collected through this website and through our workshop. Our Information Officer can be reached using the details at the end of this policy.
Information we collect
Information you give us
When you send an enquiry through our website you provide:
- your name, phone number and email address;
- your vehicle's make, model and, if you choose, its registration number;
- the service you are interested in and your message.
If you contact us by WhatsApp, phone, email or in person, we receive whatever you choose to share in that conversation. When you book work, we also record vehicle and job details needed to carry it out, invoice it and stand behind it.
Information collected automatically
Like every website, ours cannot be delivered without your device's IP address reaching the servers that host it. Our hosting provider records it, with the time and the page requested, in standard security logs. We do not use analytics or advertising trackers. See the Cookie Policy for the small amount of information stored in your browser.
Information we do not want
Please do not send us special personal information (such as health, religious or biometric information) or identity numbers through the website. We do not need them to help with your vehicle.

We do not use your information for automated decision-making or profiling, and we will not send you marketing messages unless you have asked to receive them. You can opt out of any message we send at any time.
Who we share it with
We never sell or rent personal information. We share it only with service providers ("operators" under POPIA) who process it on our instructions and under a duty of confidentiality, and only as far as they need to:
- Supabase - hosts the secure database where website enquiries are stored and read by our team.
- GitHub (GitHub Pages) - hosts this website and keeps standard server logs.
- Google - serves the fonts used on this website, which means your IP address reaches Google when a page loads. Google Maps is loaded only if you allow it (see the Cookie Policy).
- WhatsApp (Meta) - if you choose to send your enquiry by WhatsApp, that message is handled under WhatsApp's own privacy policy.
We may also disclose information where the law requires it, to protect our legal rights, or to a party you have asked us to deal with (for example, your insurer).
Information sent outside South Africa
Some of the providers above store or process information on servers outside South Africa. Where that happens we rely on POPIA section 72: the providers are bound by laws, binding corporate rules or agreements that give your information a level of protection substantially similar to POPIA, and the transfer is needed to provide the service you asked for.
How long we keep it
We keep personal information only for as long as we need it for the purpose it was collected for:
- Enquiries that do not lead to work - deleted once they are no longer needed, and in any event within 24 months of our last contact with you.
- Job cards, invoices and warranty records - kept for at least five years, as South African tax law requires.
- Hosting security logs - kept by our hosting provider for its standard, limited period.
When information is no longer needed it is deleted or de-identified so that it can no longer identify you.
How we protect it
We take appropriate, reasonable technical and organisational measures to protect your information, as POPIA section 19 requires. These include:
- encrypted connections (HTTPS) between your browser, this website and our database;
- database rules under which a website visitor can submit an enquiry but can never read one back;
- sign-in protected access for our own team only;
- automated protection against spam and abusive submissions;
- a strict Content Security Policy that stops this website loading code from anywhere we have not approved.
If we believe your personal information has been accessed by someone without authority, we will notify you and the Information Regulator as POPIA section 22 requires.
Your rights
Under POPIA you have the right to:
- ask whether we hold personal information about you, and for a copy of it;
- ask us to correct, update or delete information that is inaccurate, out of date, excessive or unlawfully held;
- object to us processing your information, including for direct marketing;
- withdraw any consent you have given, without affecting what was done before;
- lodge a complaint with the Information Regulator.
See POPIA Compliance for how to make a request. We will respond within a reasonable time and, where the law sets one, within that period. We may need to confirm your identity first.
Children
This website is intended for adults and is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has sent us information, contact us and we will delete it.
Other websites
Our website links to other sites - including our online ECU tuning file portal, social media and WhatsApp - which are run by third parties under their own privacy policies. We are not responsible for how those sites handle your information.
Changes to this policy
We will update this policy when our practices or the law change. The date at the top always shows the latest version. If a change materially affects how we use information we already hold, we will tell you before it takes effect.
